After successfully connecting with a project owner and making a preliminary deal, now as a designer, you will have to do the financial part: drafting a simple proforma invoice (PI).
A simple PI with the client is a great way to protect your financial safety and intellectual properties. But how?
Here is how to write a simple proforma invoice in three steps.
Step 1List The Main Project Information and Information of Sender and Recipient
First, you will need to list the main project information for this proforma invoice such as project name, contract number, project location, and contract date, information like these is basic but necessary for any proforma invoice.
The next part of your proforma invoice should include the sender’s information, aka your information such as your name, your contact information such as phone number, fax, email, etc.
Next, you should include the recipient’s information for this proforma invoice, aka the project owner’s information such as the name of the project owner, his phone number, fax, email, address, etc.

Itemize Your Design Services
Secondly, add columns that detail what design service you are providing (full design service or just rendering, etc). You can itemize all of the services you are providing one by one. For renderings, you can list a unit price for each rendering. If you charge by the per square foot or per square meter, you can also change it to a fee range.
Step 3
Payment Terms and Other Additional Information
Last but most importantly, include payment terms in your proforma invoice. Payment terms can vary, you can negotiate the specific payment terms that best suit you and the project owner. Many designers have chosen T/T payment (Telegraphic Transfer, also known as wire transfer) as the payment method due to its high efficiency for sending and receiving funds abroad.
As for the specific payment terms, it’s common to set a 30-50% deposit after the PI is signed, the balance before you submitted your design.
Remember to confirm the completion time with the project owner, a huge project may take a lot of time to design and render, so it's important to exclude time spent on communication and confirmation. (You can specify how many working days you need to complete the design. For larger projects, you can also detail how many days for concept design, floor plan optimization, and rendering respectively.)
You can also include what information or documents you will need from the project owner to finish the design in time such as Auto CAD drawing of architecture (floor plan, elevation, section drawing), exterior rendering, site pictures, etc. To add the date specifying when you will need the project owner to submit them is also what many designers often do.)
List additional information such as other requirements or special terms that are made between you and the project owner. This would help make this proforma invoice complete and beneficial to the completion of the design.
